Microsoft's published Australian non-profit staff pricing, per user per month on an annual commitment, excluding GST - current as at July 2026. Up to 300 users.

Business Basic — Free

Granted at no cost for up to 300 users: web and mobile Office apps, business email, Teams and 1 TB OneDrive per user.

Business Standard — AU$5.00

Adds full desktop Office apps and Clipchamp. Around 85% off the commercial price for eligible non-profits.

Business Premium — AU$8.20

The full security stack - Intune, Defender, conditional access - at a fraction of the AU$47.90 commercial price. Our default recommendation for NFPs handling donor or client data.

What your organisation is entitled to

Microsoft runs one of the most generous non-profit programs in the industry, and most eligible Australian organisations are not using it. The headline offers, as at July 2026:

  • Microsoft 365 Business Basic - free for up to 300 users. Web Office apps, email on your domain, Teams and OneDrive, granted outright.

  • Business Standard at AU$5.00/user/month (commercially AU$35.20) - adds desktop apps.

  • Business Premium at AU$8.20/user/month (commercially AU$47.90) - adds Intune device management, Defender for Office 365 and conditional access.

Enterprise non-profit pricing (E3/E5 equivalents) exists for organisations beyond 300 staff - we quote those case by case.

Who is eligible in Australia

  • Registered charities and not-for-profits - in practice, ACNC registration is the usual evidence
  • Organisations with a mission serving the broader community (advocacy, welfare, health, environment, arts and similar)
  • Excluded: government bodies, schools (use Education licensing instead), hospitals and some professional/membership associations

Microsoft verifies non-profit status when the tenant is registered. The process is straightforward but easy to get wrong the first time - we run it for our clients as part of onboarding, usually approved within days.

A note on the old Business Premium grant

Until mid-2025 Microsoft granted 10 free Business Premium licences to non-profits. That grant was discontinued and replaced with the discounted pricing above plus the free Business Basic grant. If your organisation is still running on legacy granted licences, plan the transition before renewal rather than at it - we can map the cheapest compliant path.

Non-profit licensing FAQs

Our charity is ACNC-registered - do we qualify?

Almost certainly, provided your mission serves the broader community and you fall outside the excluded categories (government entities, schools, hospitals, some membership bodies). We confirm eligibility with Microsoft as part of setup.

Is the free Business Basic tier really free?

Yes - it's a grant, not a discount, for up to 300 users. You pay nothing for the licences. Where organisations do spend money is on setup, migration, security and support - which is exactly the work we do.

Can volunteers get licences too?

Non-profit staff pricing covers paid staff and unpaid executive staff. Volunteers generally fall outside the granted/discounted tiers, though free guest access in Teams covers a lot of volunteer collaboration in practice.

We already pay full price - can we switch?

Yes. If you're eligible, we can register your non-profit status with Microsoft and move existing licences to non-profit pricing at renewal - for a mid-sized NFP the saving usually funds its own migration many times over.
